Learning Corner: Leading with Less: Focusing When Resources Are Tight

Estimated Time to Complete: 30 minutes

Objective:
To help your team agree on its true priorities when time, money or people are limited.

Materials Needed:

  • Your team's current list of projects and commitments

  • A team meeting slot

Activity Steps:

1. Lay it all out (5 minutes)
Put every project and commitment on a board where the team can see it.

2. Rate impact and effort (10 minutes)
As a team, rate each item for impact (how much it matters to the people you serve) and effort (how much it costs). Use a simple high or low.

3. Choose (10 minutes)
Keep high-impact work. Look hard at high-effort, low-impact items and decide what to pause, shrink or stop.

4. Communicate (5 minutes)
Agree on who needs to hear about any changes and who will tell them.

Key Takeaways:

  • Clear priorities protect your team from burnout.

  • Deciding together builds buy-in when things are tight.

  • Stopping low-impact work is a strategic choice.

Reflection Prompt:

If your team lost 20% of its time tomorrow, what would you stop first?
