Learning Corner: The Meeting Audit

Estimated Time to Complete: 25 minutes

Objective:
To reclaim time by reviewing your recurring meetings and deciding which to keep, change or end.

Materials Needed:

  • Your calendar for the past two weeks

  • A simple table: meeting, purpose, value 1 to 5

Activity Steps:

1. List your recurring meetings (5 minutes)
Write down every meeting that repeats. Note how long each one runs and who attends.

2. Rate the value (8 minutes)
For each meeting, write its purpose in one line and rate how useful it has been, 1 to 5. Be honest.

3. Decide (7 minutes)
Meetings rated 1 or 2: end or replace with a written update. Rated 3: shorten or cut attendees. Rated 4 or 5: keep and protect.

4. Share the change (5 minutes)
Tell attendees what is changing and invite them to flag anything they'll miss after a month.

Key Takeaways:

  • Every recurring meeting should have a clear purpose.

  • A written update can replace many status meetings.

  • Freeing time for your team is a gift they notice.

Reflection Prompt:

If you could get back two hours a week, what would you use them for?
